Non-Profit Governance Policy

Written governance standards of our registered non-profit association, OD number F14304.

Last updated: September 2026

01Non-profit status and purpose

The club operates exclusively for public benefit purposes: amateur sport, education of young people and traffic safety. It has no owners, shares or profit distribution. Any surplus is reinvested into programmes.

02Governing bodies and mandates

The members' assembly is the supreme body and meets at least once a year. It elects the executive board, president and supervisory committee for four-year terms and adopts the statute, annual plan, budget and reports.

The executive board manages operations between assemblies and keeps written minutes of its decisions.

03Conflict of interest

Officers, coaches and members must declare any personal or family interest in a club decision, contract or supplier before that matter is discussed. The declaration is minuted and the person concerned does not vote on it.

04Financial control

All income and expenditure pass through the club account and are documented. Payments above the limit set in the statute require two authorised signatures. The supervisory committee audits annual accounts independently of the board.

Officers and volunteers receive no salary, bonus or profit share; documented out-of-pocket expenses may be reimbursed.

05Fundraising and sponsorship

Donations and sponsorships are accepted only where they do not compromise the club's independence, safety standards or youth focus. Each is recorded with donor, amount and purpose, and reported to the assembly.

06Child protection and safeguarding

Activities with minors require written parental consent and the presence of at least two adults. Volunteers working with children are briefed on safeguarding rules, and any concern is reported to the board and, where required, to the competent authorities.

07Equality and inclusion

Membership and participation are open regardless of gender, ethnicity, religion, disability or family income. Club karts, equipment and coaching are provided so that cost is not a barrier for beginners.

08Records, reporting and access

The club keeps the statute, membership register, minutes, annual activity report and financial report. Members and the public may request these documents from the club office and receive a reply within 30 days.

09Complaints and review

Complaints may be submitted in writing to the club office; the board must respond within 30 days, and the supervisory committee reviews unresolved cases. This policy is reviewed by the assembly at least every four years.
